Why a close routine matters
A consistent month-end close turns bookkeeping into reliable numbers. It catches errors while they are still easy to fix and means tax season is a review, not a rebuild.
The checklist
Work through these steps every month, in order:
- Record all sales, deposits, and expenses for the month
- Reconcile every bank, credit card, and loan account
- Review uncategorized and suspense accounts and clear them
- Review accounts receivable aging and follow up on overdue invoices
- Review accounts payable and confirm upcoming payments
- Record payroll and confirm payroll liabilities
- Post accruals, prepaid expenses, and depreciation where applicable
- Compare revenue and expenses with last month and budget
- Produce the profit and loss, balance sheet, and cash flow statement
- Lock the period to prevent accidental changes
Make it faster each month
Bank rules, receipt capture, and integrations between your store, payroll, and QuickBooks remove much of the manual entry. A dedicated bookkeeper who closes the same file every month can usually finish within the first week of the following month.
When to involve a tax professional
Quarterly, review results with an Enrolled Agent or CPA to plan estimated taxes and spot issues early. This checklist is general guidance and does not replace advice for your business.
